Position: Event Planning Project Manager
Location: 90% Remote; 10% In-Person on Event Dates (primarily in CA)

Job Summary
We are seeking a highly organized, detail-oriented, tech-savvy and proactive Project Manager to join our growing event planning team. This person will support our lead planners in all aspects of wedding planning—from initial consultation through to day-of execution.
The ideal candidate excels in communication, project management, and problem-solving, and has a passion for creating meaningful and memorable events. This role is designed to provide a strong foundation in strategic planning and event production, with the long-term goal of preparing the Project Manager to lead clients independently.
Position Details
- Job Type: Part-Time (25 hours/week, Monday–Friday, 5 hours/day)
- Base Salary: $30,000 annually
- Additional Compensation: Paid separately for day-of event coordination (as assigned)
- Growth Potential: In the future, upon approval and demonstrated readiness, managing your own clients may become an additional responsibility with separate compensation.
Responsibilities
- Facilitate consistent communication and task coordination between lead planners
- Maintain records of key tasks and action items to ensure team accountability and progress
- Respond to sales emails in a timely, professional manner and track all inquiries
- Manage Instagram content calendar and coordinate with lead planners to ensure on-time posting
- Assist lead planners in developing internal planning resources and client tools
- Proactively identify and resolve information gaps across planning workflows
- Support lead planners and clients in building budgets, design concepts, and planning materials
- Input and update client and vendor information in internal databases with accuracy and consistency
- Research vendors, conduct outreach, and organize proposals for client review
- Track planning progress and vendor booking status across all clientele
- Create and maintain comprehensive event timelines and production schedules
- Coordinate directly with vendors, such as caterers, florists, photographers, and entertainers
- Manage on-site event logistics and resolve issues as they arise
- Deliver excellent customer service and uphold client satisfaction from start to finish
Qualifications
- Exceptional organizational and time management skills
- Strong written and verbal communication skills, with an emphasis on crafting clear, professional emails and client-facing correspondence
- Tech-comfortable and confident navigating digital tools, with expertise in Google Workspace and working knowledge of WordPress
- Self-starter with the initiative to take ownership of tasks and follow through independently
- Ability to manage multiple projects and meet tight deadlines
- Ability to work collaboratively on a small team and maintain strong, healthy communication
- Creative problem-solving skills and keen attention to detail
- Flexibility to work evenings and weekends as required
- Car or reliable transportation required
- Proven experience in event planning, ideally in weddings or private events, preferred
- Bachelor’s degree required
